Job description

Seeking an experienced and highly-motivated individual to join an established team in the role of PA/Admin Manager.

This role plays a crucial part in ensuring the smooth functioning and running of the office/business.

The position requires a detail-oriented individual with exceptional communication skills, discretion, and the ability to thrive in a fast-paced environment.

Primary responsibilities and requirements will include (but not limited to):

  • Be responsible for the provision of effective and efficient administrative support to the Senior Leadership Team.

  • Schedule and coordinate appointments, meetings and events

  • Be responsible for confidential secretarial, administration and clerical duties

  • Prepare and edit documents, reports and presentations. Maintain accurate records and files, ensuring confidentiality of sensitive information.

  • To respond to queries students and judging whether issues need to be passed to other staff.

  • To produce and distribute agendas for Senior Leader Team meetings in a timely manner.

  • Take minutes of Senior Leadership meetings and Middle Leader meetings as required and follow up any actions.

  • To assist with induction of new staff.

  • Assist with the preparation and collation of paperwork and data for inspections.

  • To support in ensuring that all policies remain up to date and are available on the Staff Shared Area and website.

  • Manage hospitality for meetings and events/functions throughout the year.

  • Receive and appropriately deal with all incoming electronic communications to the general email.

  • Arrange travel itineraries, accommodation and logistics for senior leaders attending conferences, meetings or other events.

  • To be responsible for the efficient running of the Admin Team and delegate tasks to designated staff as appropriate.

  • To ensure the website is compliant with statutory regulations.

  • To have oversight of the digital platforms including website and social media ensuring they are updated.

  • To lead the liaison with middle and senior leaders in delegating administrative tasks to appropriate members of the support staff team.

  • Deal quickly and calmly with any emergencies giving accurate information to the emergency services when required.

  • Be responsible to oversee performance management cycle for reception/admin staff. To agree targets and hold initial meetings, mid- term review meetings and summary meetings.

Essential skills & experience:

  • Minimum of 3 years secretarial work experience, to include supervisory duties and those associated with running an office.

  • Practical experience of word processing, e-mail & other office electronic applications.

  • Attainment of GCSE qualifications in Maths and English (or equivalent).

  • Strong organisational skills and the ability to maintain a realistic balance among multiple priorities

  • Excellent time management.

  • Confident in the use of Microsoft and Google packages.

  • Good written and verbal communication skills, attention to detail, accurate spelling and grammar.

  • Discretion, judgement and experience of dealing with sensitive information.

  • Writing, proofing and editing skills.

  • Ability to consult with colleagues in an effective and positive way

  • Drive and determination.

  • A ‘can do’ and flexible approach with ability to adapt to changing priorities.
